The Challenge
Retail buyers often manage purchases across trade shows, invoices, and online platforms without a centralized system.
This fragmented process creates several challenges:
• Organizing and managing invoices collected during trade shows
• Tracking orders across multiple vendors and purchasing channels
• Monitoring spending and ensuring purchases align with budget goals

The Solution
Develop a mobile experience that brings invoices, online orders, and trade show purchases into a single, unified system.
User Research
To better understand the challenges retail buyers face during trade shows, I conducted interviews with 5 retail buyers who regularly manage orders across invoices, online platforms, and in-person events.
Key Insights:
Retailers mentioned:

A significant time is spent manually organizing invoices and orders.

Buyers struggle to keep track of what was ordered and monitor overall purchasing volume.

Shipping timelines are often overlooked due to the overwhelming number of orders and fragmented vendor invoices.
Ideation
While retailer buyers needed a way to organize their orders across multiple platforms, there was an opportunity to help simplify an already time-consuming process.
Design considerations:

Prioritize low cognitive load
Retail buyers often manage large volumes of invoices, orders, and vendor communications simultaneously.

Easy navigation
Interview participants emphasized the importance of quickly accessing order details without spending unnecessary time organizing invoices or searching across systems.

Simplicity
Buyers valued tools that felt intuitive and straightforward.
AI-Powered Capture Workflow
To reduce the time spent organizing orders and invoices, I designed an AI-powered capture flow that automatically classifies images and surfaces relevant information for review and saving.

Next Steps
Following the completion of the core user flows and interface, the project transitioned into development for implementation and testing. Additional experiences, such as account creation and profile customization, were also designed.

Future enhancements include a desktop platform that seamlessly integrates with the mobile app, supported by a scalable design system to ensure consistency across platforms.
